[ Inbound voice / dental practices ] Single chair to multi-site

An AI receptionist for dental clinics.

Your front desk is busiest at exactly the moment the phone rings: a patient at the counter, another on hold, a hygienist asking about tomorrow. The calls that ring out at lunch and after close are mostly new patients — chipped teeth, lost crowns, a toothache that will not wait for Monday. Voclee answers every one, books into your calendar and puts the real emergencies straight through to you.

CallerSorry to call so late. My son knocked out a front tooth at practice. We have the tooth.
VocleeYou did right to call. Keep the tooth in milk if you can, and don't scrub it. I'm putting you through to Dr. Patel's emergency line now — stay on with me.
CallerOkay. Thank you.
VocleeConnecting now. I've also texted you the clinic address in case he asks you to come in tonight.

Built around how a practice actually runs

Not a generic answering bot wearing scrubs. The dental workflows are the product.

// 01

Triage you write yourself

A knocked-out tooth at 11pm goes through to the on-call line. A whitening enquiry books the next consult. You set the rules during onboarding; the agent never freelances.
// 02

No-shows, refilled the same day

A 2pm cancellation used to stay empty. Now the agent rings the short-notice list and offers the slot until someone takes it — usually within the hour.
// 03

Recalls that actually happen

The six-month list gets called, patiently and politely, week after week. Your hygiene book fills without anyone at the desk dreading the task.
// 04

The routine questions, off your desk

Do you take this insurance, where do I park, how much is a check-up — answered identically and accurately on call fifty as on call one, while your team stays with the patient in the chair.

The arithmetic of a missed call

Why dental practices were our first clients, and why most start with the phone.

BEFORE// THE LEAK

What ringing out actually costs

  • A new patient calls two or three practices and books with whoever answers. Voicemail is a referral to your competitor.
  • Lunch, school run, after six, weekends: the hours your desk is dark are the hours people are free to call.
  • One crown patient lost to a missed call can cost more than your agent does in a year.
  • The desk answers under pressure, between patients, with one eye on the waiting room.
The phone is your most expensive unstaffed channel
AFTER// THE FIX

What changes in week one

  • Every call answered in under two rings, around the clock, in the tone of your practice — we train it on how your desk actually talks.
  • Bookings land in your calendar with the patient's name, number and reason for visit already filled in.
  • Each call ends with a text confirmation, so fewer of the bookings evaporate.
  • Your front desk keeps the job it is good at: the patient standing in front of it.

Asked by practice owners

The questions dentists put to us first.

What counts as an emergency, and who decides?

You do. During setup we write the triage rules together: a knocked-out tooth or facial swelling goes straight through to the on-call line; a lost filling books the next free slot; pain gets your preferred script. The agent follows your rules, not its own judgement.

Does it book into our practice management system?

The agent books against a live calendar. During setup we connect it to your practice management system, and where a direct sync is not possible we work to a shared calendar your desk already checks. Either way, double-booking is the thing we test hardest before go-live.

What about patient privacy?

Recordings and transcripts belong to the practice and are handled to the standard your regulator expects. Bring HIPAA, GDPR or your local requirements to the scoping call and we set the stack up to match — including what the agent is allowed to say and store.

Can it call patients, not just answer them?

Yes. Recall lists, same-day cancellation fills and appointment reminders all run outbound, with scripts you approve first. Patients can rebook inside the same call.

Will patients be put off talking to software?

Most do not notice, and the rest tend to care more that someone answered at 9pm than about what answered. Anyone who asks for a person gets one — that path always exists.

Your practice, answered.
